Initiate and lead virtual or in-person meetings with stakeholders to plan scope and format of events, establish and monitor budgets, and/or review administrative procedures, prepare timelines, and note event progress. Serve as project leader on specific events, whether in-person, hybrid or virtual, coordinate teams that plan, implement, and manage all aspects of events such as: marketing, vendors, security and crowd management, parking and transportation, ticket office, and catering as applicable. Support the ED in the overall strategic planning of events. Manage staff and recruit volunteer support for events. Procure and coordinate vendor services, negotiate contracts and manage event budget. Research and provide recommendations for potential event locations and evaluate alternatives. Plan and manage event logistics, layouts, catering, registration, lead meetings prepare and present event related materials, communicate to Stanford community, recruit volunteers, and conduct pre- and post-event evaluations. Reporting to the executive director, the assistant director will plan, and manage the implementation of many of the university’s major public ceremonies and high-profile special events. The department also helps manage event policies, procedures, and non-academic event space usage, and provides event planning education and training services to Stanford faculty, staff, and students. OSEP provides event planning and event management expertise for members of the Stanford community. This includes managing Commencement and Baccalaureate, Family Weekend and other special events or visits hosted by the President and Provost Office.

The Office of Special Events & Protocol (OSEP), a division of Stanford Campus Engagement, is responsible for the production, design, and implementation of many of the university’s major public ceremonies and high-profile special events.
